The basics

What Is a Custom Balloon Installation?

If it hangs overhead, spans a room, takes a shape or carries a logo, it's an installation.

A custom installation is balloon decor designed for one specific space and built there, usually bigger or more structural than an arch, garland or column. Picture a balloon ceiling over a dance floor, a cloud above a head table, a 30 ft arch across a store entrance, an oversized mosaic, a walk-through tunnel or a sculpture of a logo. This is where balloon decor turns into balloon art.

Because every piece is made for a single room, the process opens with measurements and a sketch, not a menu of prices. An installation is the right call for a big room, a high-profile night or a moment you want people talking about on the drive home. For off-the-shelf pieces, see balloon arches, garlands, walls, columns and backdrops.

What we install

Types of Custom Balloon Installations

These are the installations Pittsburgh hosts, schools and businesses ask about most.

Balloon ceilings

A balloon ceiling fills the space overhead with helium balloons floating against the ceiling and ribbons trailing down, air-filled balloons hung at staggered heights, or garlands swagged across the room. It turns a plain hall or gym into an event space and is a favorite for proms, weddings, bar and bat mitzvahs and holiday parties. Under drop ceilings, we use clips made for the ceiling grid instead of anything that touches the tiles.

Hanging balloons, canopies and chandeliers

Garlands hung over a long table, a canopy above a dance floor or tent, and balloons wrapped around an existing chandelier (or a balloon chandelier built on a hoop) lift the decor to eye level and above without using any floor space.

Balloon clouds

Clouds are loose, airy masses of white and clear balloons, sometimes flecked with pastel or metallic, suspended above a table or standing in as a backdrop. They suit cloud-nine baby showers and soft, romantic wedding rooms.

Balloon drops

With a balloon drop, a net or bag overhead lets go of hundreds of balloons at a planned second: midnight on New Year's Eve, a gender reveal, a couple's entrance, the last moment of a grad party or a product reveal. We rig it ahead of time and release it by pull cord on cue.

Balloon sculptures and balloon art

Sculptures take a shape people recognize: a giant number, a cake, a mascot, a logo. Balloon art for schools, galleries and brand events can be built life-size or larger.

Balloon trees, palm trees and topiaries

Freestanding shaped pieces work like balloon columns with something on top: palm trees beside a pool or at a luau, clipped topiaries for formal dinners, and balloon Christmas trees for office lobbies and holiday parties.

Balloon tunnels

A tunnel is a row of arches set close together for guests to walk through. It makes a memorable wedding entrance, school walkway, 5K finish or store opening.

Balloon mosaics, number towers and marquee letters

A mosaic fills a number, letter or shape frame with small balloons, like a picture made of balloon pixels. Mosaic numbers and letters spell an age, an initial or a class year, and marquee letters wrapped in balloons add light. They're among our most requested pieces for birthdays and grad parties.

Balloon wreaths and giant balloons

A balloon wreath circles a front door or frames a sign. Oversized balloons of 36 inches or more, often stuffed with confetti, create the big beat in a gender reveal, a proposal or a styled photo shoot.

Process

How a Custom Installation Comes Together

Bigger builds take more planning. Here's how the process runs.

  1. 1

    Brief

Tell us the event, date, venue and idea. Photos, mood boards and brand guidelines all help.

  2. 2

    Site details

We confirm room size, ceiling height, rigging points, power, load-in times, freight elevator or dock access and venue rules, by visit or from your photos and measurements.

  3. 3

    Design and quote

You get a design and a written quote. Large installs are priced by scope, not by the foot.

  4. 4

    Build day

We arrive inside the venue's load-in window, build in place and walk through the finished room with you before the doors open.

  5. 5

    Strike

We take everything down at the end of the night or the next morning, depending on the venue.

Venue rules worth asking about early: many Downtown hotels, banquet halls and university venues set load-in and strike windows, require vendors to carry liability insurance and send a certificate of insurance, limit helium tanks, ban tape on walls and won't allow anything hung from the ceiling without approval. Church halls and fire halls often rent by the block of hours, so setup time counts against your rental. We sort out the rules before quoting so build day has no surprises.

Large installs are quoted after we measure. Venue load-in rules and late-night strikes can add to the total.

What drives the price of an installation: the area or length covered, the number and size of balloons, rigging and lift needs (ceiling height matters), helium, labor hours, overnight or after-hours load-in, venue insurance requirements and same-night teardown. Send your venue and ceiling height with your quote request and we'll scope it properly.

Occasions

Installations are for the events where guests walk in and stop.

  • Christmas and holiday parties: balloon Christmas trees, winter wonderland ceilings and lobby pieces for a season that starts Downtown with Light Up Night.
  • Halloween: haunted-house tunnels, black and orange garlands and creepy-cute sculptures for school and neighborhood parties.
  • Weddings: a cloud over the sweetheart table, a ceiling over the dance floor and a balloon drop for the first dance or the send-off.
  • Bar and bat mitzvahs: ceilings over the dance floor, an entrance tunnel and a mosaic of the honoree's initial or age.
  • Gender reveals: a net that drops pink or blue, an oversized confetti balloon to pop, or a cloud that gives it away.
  • Prom, homecoming and graduation: a ceiling over the gym floor, a tunnel for the grand march and a mosaic of the class year.
  • Birthdays: a mosaic of the new age and a drop to close out a milestone party.

Timing

When to Book a Balloon Installation

Give big installations three to six weeks.

A mosaic number or a home balloon drop can usually be booked a week or two out. Ceilings, tunnels, sculptures and anything inside a hotel or event venue need three to six weeks so there's time for design, venue sign-off and ordering balloons in custom colors. December weekends, New Year's Eve, spring prom season and the late-May-to-June graduation stretch go first.

Questions

Custom Balloon Installations in Pittsburgh: FAQ

How much do balloon installations cost?

Custom installations begin at $400, balloon mosaic numbers at $200 and marquee letter rentals at $45 apiece. Ceilings, drops, tunnels and sculptures get a project quote based on size, rigging and labor.

What is a balloon ceiling?

It's balloon decor overhead. That can be helium balloons resting against the ceiling with ribbons dangling, air-filled balloons hung at staggered heights, or garlands draped from wall to wall.

What is a balloon drop?

It's a net or bag of hundreds of balloons hung overhead and released on cue, at a midnight countdown, a gender reveal, a grand entrance or a send-off.

How many balloons are needed for a balloon drop?

About 100–250 for a living room or small party room, and 500–1,500 or more for a ballroom or dance floor. The size of the drop zone and the ceiling height decide the count.

What is a balloon mosaic?

It's a frame shaped like a number, letter or symbol, packed with small balloons so it reads like a picture made of dots. Mosaics of an age, an initial or a class year are favorites for birthdays, anniversaries and grad parties.

How long do ceiling balloons last?

Helium ceilings look their best for roughly 8–12 hours, so they're built the day of. Air-filled hanging pieces hold up for several days indoors.

When should I book a balloon installation?

Allow three to six weeks for ceilings, tunnels, sculptures and anything at a venue. A mosaic number or a balloon drop at home usually needs one to two weeks.

Can you hang balloons from a drop ceiling?

Usually, yes, with clips made for the ceiling grid and only with the venue's permission. We never tape or pin anything to the tiles. Plenty of church halls, fire halls and school cafeterias have drop ceilings, so we ask about it up front.

Do venues allow balloon installations?

Almost all do, within limits. Expect requirements like vendor liability insurance, fixed load-in and strike times, and limits on helium, tape and ceiling rigging. We get the rules from the venue before we quote.
